Tiny Hero is an entertainment marketing agency in Burbank. We create trailers, campaigns, social creative and motion graphics for major studios. Our work has earned more than 250 Clio awards, and we’ve been an Agency of the Year finalist for five consecutive years.
We’re looking for a coordinator to help organize the growing volume of work moving through our Graphics department.
The position
The Graphics Operations Coordinator will work directly with our Graphics Lead to manage the department’s day-to-day workload.
The job requires knowing what’s currently in progress, what’s coming next, who is assigned to each project and what may be holding things up. You’ll help establish priorities, organize new requests, make sure artists have what they need and keep projects moving through delivery.
This is primarily a coordination role rather than a design position. You don’t need to be an artist, but you should understand how post-production and motion graphics work and be comfortable communicating with designers, editors, producers and finishing artists.
Responsibilities
- Review priorities and artist availability with the Graphics Lead
- Maintain the department’s schedule and keep assignments, deadlines and project statuses current
- Review incoming Graphics requests and make sure the brief, assets, references, copy and delivery requirements are included
- Help plan assignments based on deadlines, workload and each artist’s strengths
- Communicate assignments and priority changes to the appropriate artists, producers and editors
- Follow up on missing assets, information, approvals and feedback
- Identify scheduling conflicts and other problems early enough for the team to address them
- Track notes, revisions and deliveries so requests don’t get lost between departments
- Maintain Graphics work orders and help ensure billable hours are captured accurately
- Coordinate project handoffs between Editorial, Graphics and Finishing
- Keep fonts, logos, style guides, studio artwork and shared project assets organized
- Check deliverables for correct specifications, naming, versions, safe areas and legal lines
- Work with the Graphics Lead to improve our intake, scheduling and delivery processes
Qualifications
- 1–3 years of coordination or operations experience in post-production, entertainment marketing, motion graphics or a similar creative environment
- Strong organization and follow-through
- Clear written and verbal communication
- Good judgment when priorities change or several deadlines overlap
- A proactive approach to missing information and potential problems
- Working familiarity with After Effects, Photoshop and Premiere
- Basic understanding of codecs, aspect ratios, delivery specifications and file organization
- Experience with Frame.io, Slack, or similar tools
- Ability to remain calm and organized during busy periods
This position is overtime eligible. Occasional paid evening or weekend work may be required during especially busy periods.
